This Clarification Text concerns the personal data processed through the Passgage application, a new-generation human resources management system owned by Rendroy Information Technologies Trading Inc. (“Rendroy”). Passgage users can review this Text regarding the processing of their personal data in accordance with the Law on the Protection of Personal Data No. 6698 (“KVKK”).
1. Identity of the Data Controller
Rendroy, the developer and intellectual property owner of Passgage, offers Passgage to employer companies as a technology service. Personal data processed through Passgage is processed solely for the purposes determined by the company in line with the commitments made by Rendroy to the client company. If you are a Passgage user, your employer has created a user account for you in the application. For more detailed information, please contact your employer.
2. Purpose and Legal Basis for Processing Personal Data
The purposes and legal bases for processing your personal data on the platform are shown in the following table:
Legally, under “KVKK Article 5(2)(c) The processing of data is mandatory for the data controller to fulfill its legal obligations,” the processed data is used for:
- Tracking employee attendance, including shift and entry || exit movements necessary for payroll calculations and preparation of pay slips.
- Calculation of working hours and entitlements.
- Necessary for salary and benefit payments.
- Determining working hours.
- Receiving leave requests and using leave data in payroll calculations and preparation of pay slips.
Legally, under “KVKK Article 5(2)(f) Provided that it does not harm the fundamental rights and freedoms of the related person, the processing of data is mandatory for the legitimate interests of the data controller,” the processed data is used for:
- Ensuring the up-to-dateness of user profile data, ensuring password security.
- Necessary for identifying and verifying the user.
- Ensuring the secure access of the user to the Passgage application.
- Collecting suggestions, requests, and complaints related to the application.
- Necessary for ensuring campus security.
Legally, under “KVKK Article 5(1) Personal data cannot be processed without the explicit consent of the related person,” the processed data is used for:
- Interacting with other employees in the PG social area.
Legally, under “KVKK Article 6(2) Processing of special categories of personal data is prohibited without the explicit consent of the related person,” the processed data is used for:
- Leave requests and approvals made through the application when the leave is due to illness.
3. To Whom and for What Purpose Personal Data May Be Transferred
Your personal data is not transferred to third parties or institutions, except for the outsourcing of server hosting services in line with our commitments to the client company. Since Passgage does not have any integration with other software, your personal data is also not automatically transferred to any other electronic environment through Passgage.
However, we anticipate that your personal data collected through Passgage may be transferred to consultancy firms, banks, authorized public institutions and organizations for purposes such as payroll processing, financial transactions, salary and benefit payments, and legal audits. For detailed information on these matters, which are not directly related to Passgage, you should contact your employer.
4. Method of Collecting Personal Data
Your personal data is processed by being defined as a user in Passgage by the authorized users determined by your employer, the client company, and by accessing and using the account assigned to you in Passgage.
5. Your Rights Under Article 11 of KVKK
Passgage is designed to be user-friendly. You can exercise your rights under Article 11 of the KVKK by contacting Rendroy, the developer of Passgage, at info@passgage.com or by directly contacting your employer.

This Clarification Text has been prepared in accordance with the Law on the Protection of Personal Data No. 6698 and related legislation. Necessary changes may be made to this clarification text in line with changes in the relevant legal legislation and/or the Company’s personal data processing purposes and policies.
